2. Scope

This Privacy Policy covers personal data collected when you visit tachtime.app, create an account, use our web or mobile apps, contact support, or otherwise interact with our services (“Services”).

3. Information We Collect

Account and Billing: Name, email, company (if provided), password (hashed/encrypted) and authentication tokens. Billing and subscription information. Payments are processed by our payment provider; TachTime does not store full card numbers.

Aircraft and Logbook Content: Aircraft details you enter (registration, serial numbers, make/model, engine/prop data). Uploaded images, PDFs, or documents of logbook entries and supporting materials. Extracted text and metadata obtained through OCR/AI to make entries searchable.

Usage and Device Data: Feature usage, timestamps, IP address, browser/device information. Cookies and tracking data as described in Section 14.

Support and Communication: Messages sent to support and related metadata. Optional surveys or beta feedback submissions.

4. How We Collect Data

We collect data directly from users when they register, upload content, or contact support. We automatically collect data through device and browser activity logs. We also receive data from service providers supporting our operations (e.g., payment processors, cloud infrastructure).

5. How We Use Data

We use your data to provide, maintain, and secure the Services. This includes storing and processing logbooks, OCR/AI extraction, search, and sharing features. We manage billing, subscriptions, and account communication. We respond to support requests and send important service notices. We improve accuracy and performance using aggregated, de-identified analytics. We also use data to comply with legal and financial obligations.

When you share logbook access with third parties (mechanics, buyers, DPEs), you acknowledge that shared users can view but not modify your data. We log access but cannot control how viewers use the information. You may revoke sharing permissions at any time. Shared links may be forwarded beyond your intended recipients.

6. AI and OCR Processing

TachTime uses advanced OCR and AI technology to extract structured data from uploaded logbook images. Processing occurs within secure, SOC 2 compliant infrastructure in the United States. Data sent to these systems is used only to provide OCR and extraction functions and is not used to train public models. Processing providers are instructed not to retain content longer than necessary to complete processing.

7. Sensitive Aviation Data

We recognize that aircraft logbooks may contain sensitive operational and maintenance data. We never share logbook content with other users without your explicit permission. We do not use your logbook data for competitive analysis or industry benchmarking. We do not sell or license your aviation data to third parties. We process mechanic certificates and signatures solely for record-keeping purposes.

8. Legal Bases (EEA/UK Users)

We currently do not serve EU or UK users. If we begin doing so, processing will be based on contract performance, legitimate interests, consent, and legal obligations, as applicable.

9. Sharing and Processors

We do not sell personal information. We share data only with trusted processors under written agreements including: Cloud Infrastructure and Database Services, AI/OCR Processing Services, Payment Processing, Analytics Services, Email Delivery Services, and Backup and Disaster Recovery Services. We may also share data to comply with legal requirements or in connection with business transfers (e.g., mergers or acquisitions).

10. International Transfers

All primary data processing and storage occur in the United States.

11. Data Retention

We retain user data as long as the customer maintains an active subscription. Upon cancellation or termination, data is retained for 60 days, after which it is deleted from active systems and backups. Regular automated backups are performed and stored using multi-region infrastructure. Diagnostic logs are retained for 90 days.

12. Security

We implement encryption in transit (TLS) and at rest. We maintain role-based access control and limited employee access to production systems. We perform regular backups and maintain monitored infrastructure. We have established incident response procedures for security events.

13. Data Breach Response

In the event of a data breach affecting your personal information, we will notify affected users within 72 hours of discovery. We will provide details about what information was involved, describe steps we’re taking to remediate the issue, and offer guidance on protective measures you can take.

14. Your Rights

Users may request access, correction, or deletion of their data by contacting privacy@tachtime.app. We will respond in accordance with applicable laws. Users can export their data in PDF format at any time during active subscription. Bulk exports of all logbook entries and images are available upon request.

15. California Privacy Rights

California residents have additional rights under the CCPA/CPRA including the right to know, delete, correct, and opt-out of sales (though we do not sell personal information). Contact privacy@tachtime.app to exercise these rights.

16. Cookies and Tracking

We use cookies and similar technologies for authentication, analytics, and performance. Analytics and marketing cookies may include services like Google Analytics and advertising pixels. Essential cookies are required for login and session management. You may adjust browser settings to reject non-essential cookies.

17. Automated Processing

Our OCR/AI technology makes automated extractions of text from images. These are suggestions only—users must verify all extracted data for accuracy. No automated decision-making with legal effects is performed.

18. Children

The Services are not directed to children under 16 years of age. We do not knowingly collect data from minors.

19. Communications

Transactional: Account notices, invoices, and important updates (cannot be opted out of).

Marketing: Optional updates or newsletters. You may unsubscribe at any time.

20. FAA and Recordkeeping Disclaimer

TachTime is a digital convenience tool. Users remain responsible for maintaining official aircraft logbooks and verifying data accuracy. TachTime does not replace legal recordkeeping requirements. See our Terms of Use for more details.

Links to third-party websites are provided for convenience. TachTime is not responsible for their privacy practices or content.

22. Changes to this Policy

We may update this Privacy Policy periodically. The “Effective date” above reflects the latest version. Material updates will be communicated through email or in-app notice.

24. Data Retention Schedule
